The assistant fetches the transcript, builds a first map, and shows a preview in the chat. This first version is usually organised by topic in the order the meeting ran. That is a fine start, but the real value comes from the next step, where you tell it the structure you want.
Fallback: if your meeting tool is not connected
If your meeting tool has no app or connector, or you only have a transcript file, paste the transcript into the chat with the same instruction and ask the assistant to send the result to MindMap AI. For very long transcripts, paste the first half, ask the assistant to build the map, then paste the second half and ask it to add to the same map. Review and refine the map
Start by giving the map the shape that makes meeting notes useful:
Organize the mind map into Decisions, Action Items (with owner and deadline), and Open Questions.
Then check that it has:
- The decisions, separated from the discussion that led to them.
- Every action item, each with an owner and a deadline.
- Open questions that were raised but not answered.
- Nothing that was only a tangent.
If something is missing or wrong, keep going in the same chat. You do not need to start again. Examples:
- "Add the owner and deadline under each action item. If none was assigned, write Unassigned."
- "Remove the side discussions that did not lead to a decision or action."
- "Add a branch that lists each person and everything they agreed to do."
- "Split Action Items into Done, In Progress, and Not Started."

Open the map in MindMap AI
Click the generated map to open it in MindMap AI. From there you can drag branches, rename nodes, add or remove items, colour-code by status, change the layout, and share a link with the team. The map is saved in your MindMap AI account, so it stays there after the chat ends.
What you can do that copy-paste cannot
Because the assistant can read your meeting tool directly, a few things become possible that were not before.
Map several meetings at once. Ask for the last four weekly standups and have the assistant show which action items carried over from one week to the next. One map, four meetings, no exporting.
Ask questions without re-uploading. Once the map exists, ask "who owns the pricing decision?" or "what is still unassigned?" in the same chat. The assistant already has the meeting and does not need to fetch it again.

Stopping at the first map. The first version is a topic summary. The structure instruction (Decisions, Action Items, Open Questions) is what turns it into something you can act on. Do not skip it.
Letting the assistant guess owners. If nobody was assigned, you want to see "Unassigned". Ask for that explicitly, otherwise the assistant may pick a name that sounds plausible.
Treating every tangent as equal. Ask it to drop discussion that did not lead to a decision or action.
Trusting the result without checking. The assistant reads the transcript, not the room. If the recording missed a decision, so will the map.
